Terms & Conditions

These Terms & Conditions govern your use of services provided by Quba Hajj Umrah Travels & Tours ("Quba Travels", "we", "us", "our"), Office G-28, Heaven Mall, Jora Pull, Lahore Cantt, Pakistan. By making an enquiry, placing a deposit, or booking a package with us, you agree to these terms.

1. Our Services

Quba Travels & Tours arranges Hajj and Umrah travel packages for Pakistani pilgrims. Our services include:

• Umrah and Hajj package arrangement (hotel, flights, transportation)
• Visa document preparation, review, and submission assistance
• Pre-departure (Tarbiyah) briefing
• Travel document preparation and delivery

We act as a travel arranger and are not the direct supplier of hotels, airlines, or Saudi government services. Our role is to coordinate and verify these on your behalf.

2. Bookings & Confirmation

• A booking is only confirmed when we have provided written confirmation of the package via WhatsApp or in person at our office, and you have paid the required deposit.
• Written confirmation will include: hotel name and category, flight details (airline, route, dates), package inclusions, total cost, and payment schedule.
• Verbal quotations or preliminary discussions do not constitute a confirmed booking and are not binding on either party.
• Package prices are confirmed at the time of booking based on then-current hotel and flight availability. Prices may differ from earlier verbal estimates due to availability changes.

3. Payment

• A deposit is required to confirm your booking. The deposit amount is specified in your written booking confirmation.
• The remaining balance is due by the date specified in your booking confirmation — typically before visa submission or before travel documents are prepared.
• Failure to pay the remaining balance by the agreed date may result in cancellation of the booking. In such cases, our standard cancellation and refund policy applies.
• All payments must be made in Pakistani Rupees (PKR) unless otherwise agreed in writing.

4. Visa Applications

• Quba Travels assists with the preparation and submission of visa documents. We are not a legal immigration service and we do not guarantee visa approval.
• Visa approval is the sole decision of Saudi authorities. We take no responsibility for visa rejection by Saudi authorities where the complete, correct documents were submitted by us on your behalf.
• You are responsible for providing accurate, genuine, and complete documents. Any rejection or complication arising from inaccurate or falsified documents submitted by you is your sole responsibility.
• We will review all documents before submission and advise you of any issues identified. We will not submit an incomplete file without first notifying you.
• Processing times are estimates based on typical Saudi embassy timelines and may vary. We are not liable for delays caused by the Saudi embassy or Saudi government.

5. Package Inclusions

• Package inclusions (hotel nights, meals, transportation in Saudi Arabia, group visa) are confirmed in your written booking confirmation. Only what is listed in writing is included.
• Personal expenses, excess baggage fees, optional excursions, and items not listed in your booking confirmation are not included.
• Hotel rooms are typically shared occupancy (twin or triple). Single room supplements are available on request and will be priced separately.
• We arrange accommodation at or near the properties listed. In rare cases where the confirmed hotel is unavailable due to circumstances beyond our control, we will provide accommodation of equivalent or higher category and notify you promptly.

6. Cancellations

Our full cancellation and refund terms are detailed in our Refund Policy. In summary:

• Cancellations must be notified to us in writing via WhatsApp to +92 305 6300666.
• Deposits are non-refundable in most circumstances once airline tickets and hotel blocks have been booked on your behalf.
• The refundable portion of any payment depends on how far in advance of travel the cancellation is made and what costs have already been incurred on your behalf.
• We encourage you to consider travel insurance to protect against unavoidable cancellations.

7. Force Majeure

We are not liable for failure to perform or delays in our services caused by circumstances beyond our reasonable control, including but not limited to: Saudi government policy changes, airline cancellations, natural disasters, pandemic-related travel restrictions, war, or acts of government. In such events, we will work with you to reschedule or recover costs where possible, but we cannot guarantee full refunds for costs already committed to third parties (hotels, airlines) on your behalf.

8. Client Responsibilities

• You are responsible for ensuring your passport is valid (minimum 6 months beyond your return date) and in good condition before submitting it for visa processing.
• You are responsible for obtaining required vaccinations (e.g., meningococcal) within valid timeframes, as advised by us.
• You are responsible for arriving at the departure airport on time with all required travel documents.
• Pilgrims must comply with Saudi laws, regulations, and the rules of Haram. We are not responsible for any consequences arising from non-compliance.

9. Limitation of Liability

Quba Travels & Tours is not liable for: injury, illness, death, loss, damage, or delay caused by the actions or omissions of airlines, hotels, Saudi government authorities, or other third-party service providers. Our liability to you is limited to the total amount paid by you to us for the relevant booking. We are not liable for consequential, indirect, or punitive damages.

10. Governing Law

These Terms & Conditions are governed by the laws of the Islamic Republic of Pakistan. Any disputes arising from these terms or your booking with Quba Travels & Tours shall be subject to the jurisdiction of the courts of Lahore, Pakistan.

11. Changes to These Terms

We review these terms every 6 months. The terms applicable to your booking are those in force at the date of your booking confirmation. Any future changes to these terms will not affect existing confirmed bookings unless required by law.
