Umrah and Hajj travel involves significant advance costs — airline seats, hotel blocks, and visa fees are committed on your behalf shortly after booking confirmation. This is why our cancellation terms differ from standard retail refund policies. Please read this policy carefully before confirming a booking. If you have questions, contact us on WhatsApp before paying a deposit.

1. How Cancellations Work

To cancel a confirmed booking, you must notify us in writing via WhatsApp to +92 305 6300666. Verbal cancellation requests are not accepted. Your cancellation is effective from the date and time of your written notification.

After receiving your cancellation, we will calculate the refundable amount based on costs already incurred on your behalf and the notice period before your departure date, as detailed in Section 2 below.

📝 How "Non-Recoverable Costs" Are Calculated

Non-recoverable costs are the amounts that airlines, hotels, or Saudi visa authorities will not return after cancellation. These vary by airline, hotel contract, and booking type. When you cancel, we provide you with a written breakdown of:

  • The total amount paid by you
  • The costs already incurred on your behalf
  • What has or can be recovered from third parties
  • The refundable balance

3. Deposits

  • Deposits confirm your booking and are used immediately to secure hotel blocks and airline seats. For this reason, deposits are generally non-refundable once used.
  • If you cancel before we have committed the deposit to any supplier, the deposit is refundable minus an admin fee of PKR 2,500.
  • We will advise you at the time of deposit whether the funds have already been committed to suppliers.

4. Visa Fees

  • Visa fees paid to Saudi authorities on your behalf are non-refundable in all circumstances — including visa rejection or client cancellation.
  • Our visa document preparation fee (if charged separately from the package) is non-refundable once visa documents have been submitted.

5. Rescheduling

If you wish to reschedule your travel to a different date rather than cancel, we will endeavour to accommodate this. Rescheduling is subject to availability and may incur airline change fees, hotel date-change costs, and a rescheduling admin fee. We will advise the total cost of rescheduling before you confirm. Rescheduling is not guaranteed — some airline tickets and hotel blocks are non-transferable.

6. Cancellations Initiated by Quba Travels

In the rare event that Quba Travels cannot fulfil a confirmed booking due to circumstances on our side (not caused by third-party suppliers or force majeure), we will offer you:

  • An equivalent alternative package at no additional cost, or
  • A full refund of all amounts paid to us

7. Force Majeure Cancellations

If your travel is cancelled due to force majeure events (Saudi government restrictions, airline cancellations, pandemic restrictions, natural disaster, etc.), we will recover and return all amounts recovered from airlines and hotels. We cannot guarantee full refunds for costs already irrecoverably committed to third parties in these circumstances. We will always provide a transparent written breakdown of costs recovered vs. costs lost.

8. Refund Processing

  • Approved refunds are processed within 14 working days of the refund amount being confirmed in writing by both parties.
  • Refunds are made by the same payment method used for the original payment — bank transfer or cash depending on how the original payment was made.
  • We do not delay refund processing. If a refund is taking longer, contact us via WhatsApp immediately.

9. Disputes

If you believe a refund has been incorrectly calculated or withheld, contact us via WhatsApp at +92 305 6300666 with your booking confirmation number. We will review and respond within 5 working days. We aim to resolve all disputes fairly and without formal proceedings — but if a resolution cannot be reached, disputes are subject to the jurisdiction of the courts of Lahore, Pakistan, as stated in our Terms & Conditions.
